Terms & conditions.

The terms that govern your journey with Ngomi Adventures — read before booking.

Effective: 1 May 2026

1. Agreement.

These Terms and Conditions ("Terms") constitute a binding agreement between you ("the Client," "you") and Ngomi Adventures ("the Company," "we," "us"), a safari tour operator registered in Arusha, Tanzania. By submitting a booking request or making a payment, you agree to these Terms in full.

2. Booking & confirmation.

A booking is confirmed only when:

  1. You have received a written itinerary and quotation from us
  2. You have confirmed your acceptance in writing (email is sufficient)
  3. We have received your deposit payment

Until all three conditions are met, your inquiry remains a provisional request and is not guaranteed.

3. Payment terms.

Deposit

A non-refundable deposit of 30% of the total trip cost is required to secure your booking. The deposit must be received within 7 days of your booking confirmation.

Final payment

The remaining 70% balance is due no later than 60 days before your arrival date. For bookings made within 60 days of travel, full payment is required at the time of booking.

Payment methods

  • Bank wire transfer (USD)
  • Credit/debit card (Visa, Mastercard) — a 3.5% processing fee applies
  • Mobile money (for local clients)

All prices are quoted in US Dollars (USD) unless otherwise stated.

4. What’s included.

Unless otherwise stated in your itinerary, our safari packages typically include:

  • All accommodation as specified in your itinerary
  • All meals as specified (typically full board on safari)
  • Private 4x4 safari vehicle with pop-up roof
  • Professional English-speaking safari guide/driver
  • All national park entry fees and conservation fees
  • Airport/hotel transfers as specified
  • Drinking water during game drives
  • All government taxes and levies

5. What’s not included.

  • International and domestic flights (unless specified)
  • Visa fees and travel insurance
  • Tips and gratuities for guides, drivers, and lodge staff
  • Alcoholic and premium beverages
  • Laundry, telephone calls, and personal expenses
  • Optional activities not listed in the itinerary (e.g. balloon safaris, spa treatments)
  • Any items of a personal nature

6. Cancellation policy.

If you need to cancel your booking, the following fees apply based on the date we receive written notice:

  • 90+ days before departure: Deposit forfeited; no additional charge
  • 60–89 days: 50% of total trip cost
  • 30–59 days: 75% of total trip cost
  • Less than 30 days: 100% of total trip cost (no refund)
  • No-show: 100% of total trip cost (no refund)

We strongly recommend purchasing comprehensive travel insurance that covers trip cancellation.

7. Changes & amendments.

We understand plans can change. We will do our best to accommodate itinerary changes, subject to availability. Amendments requested within 30 days of departure may incur additional charges if suppliers impose penalties.

Minor changes (room upgrades, activity additions) can usually be arranged at any time.

8. Our right to cancel.

We reserve the right to cancel or modify a trip due to:

  • Force majeure events (natural disasters, pandemics, political unrest)
  • Safety concerns as assessed by our team
  • Government travel restrictions or park closures
  • Minimum participant requirements not being met (for group departures)

In such cases, we will offer you a full refund or the option to reschedule at no additional cost.

9. Travel insurance.

Travel insurance is mandatory for all Ngomi Adventures clients. Your policy must cover, at minimum:

  • Medical expenses and emergency evacuation (minimum $100,000 coverage)
  • Trip cancellation and interruption
  • Baggage loss or delay
  • Personal liability

We may request proof of insurance before your departure. We can recommend providers upon request.

10. Health & fitness.

Safari travel and Kilimanjaro treks require a reasonable level of fitness. You are responsible for:

  • Consulting your doctor about vaccinations and malaria prophylaxis
  • Disclosing any medical conditions, allergies, or mobility limitations at the time of booking
  • Carrying personal medication and a basic first-aid kit

For Kilimanjaro climbs, we reserve the right to turn back any participant whose health poses a risk, as determined by our guides.

11. Liability.

Ngomi Adventures acts as an agent for accommodation, transport, and activity providers. While we carefully vet all partners, we are not liable for:

  • Acts or omissions of third-party suppliers
  • Injury, loss, or damage arising from inherent risks of safari and outdoor activities
  • Flight delays, cancellations, or schedule changes by airlines
  • Loss or damage to personal belongings

Our liability is limited to the total amount you paid for your trip.

12. Photography & media.

We may take photographs or videos during your safari for promotional purposes. If you prefer not to appear in our marketing materials, please inform us before or during your trip, and we will respect your wishes.

13. Governing law.

These Terms are governed by the laws of the United Republic of Tanzania. Any disputes arising from these Terms shall be resolved through mediation in Arusha, Tanzania, before pursuing legal proceedings.
